Position Overview

The Shipping Clerk manages all outbound logistics, focusing on packaging, documentation, scheduling, and loading of finished goods. This role is crucial for ensuring customer satisfaction by confirming order accuracy and timely delivery in the label manufacturing and converting process.

Functional Responsibilities and Tasks

The core functions involve packaging, documentation, loading, and logistical coordination for finished goods:

Packaging and Final Preparation

  • Order Verification: Compare finished goods against the customer order and job ticket to verify item quantity, product codes, quality control sign-offs, and shipping instructions are complete and correct.
  • Packaging: Select appropriate packaging materials (boxes, cartons, custom containers) and safely pack finished label rolls or sheets to prevent damage during transit.
  • Labeling: Affix all necessary shipping labels, compliance labels, and customer-specific handling instructions to the packages.
  • Palletizing: Stage and safely palletize shipments, using stretch wrap and banding to ensure loads are secure and stable for transport.

 Documentation and Logistics

  • Paperwork: Generate and complete all required shipping documentation, including Bills of Lading (BOLs), packing lists, shipping manifests, and customs forms (if applicable).
  • Carrier Scheduling: Contact and schedule freight carriers (LTL, common carriers, couriers) for timely pickup, coordinating dock times, and providing necessary information.
  • System Entry: Accurately enter and update shipping information (tracking numbers, weights, dimensions) into the company’s ERP/Shipping software and carrier websites to facilitate tracking and invoicing.
  • Finished Goods Inventory: Manage the immediate staging and short-term inventory of finished goods awaiting shipment.

Warehouse Coordination and Safety

  • Loading: Safely load outbound trucks and containers, ensuring freight is secured and maximizes space while minimizing transit risk.
  • Equipment Operation: Safely operate material handling equipment, including forklifts and pallet jacks, for moving and loading freight.
  • Housekeeping: Maintain a clean, organized, and safe shipping dock and packaging area.
  • Safety Protocols: Adhere to all facility and transportation safety regulations, especially those related to loading dock procedures and material handling.

Required Qualifications and Attributes

  • Experience: 1-2 years of experience in shipping, logistics, or warehouse role, with direct experience preparing LTL/freight shipments. Experience with label or packaging logistics is beneficial.
  • Technical Skills: Proficiency with basic computer systems, label printing software, and familiarity with generating BOLs and tracking shipments online. Experience with an ERP system is a plus.
  • Certification: Must possess or be able to obtain certification for operating a forklift and other necessary material handling equipment.
  • Detail Orientation: Exceptional attention to detail is required for verifying order accuracy and completing complex documentation.
  • Physical Demands: Ability to perform physical tasks, including standing, walking, lifting, and safely moving packages and freight up to 50 lbs. unassisted.
